This page details the process for Apprentice Employer

These steps are summarised in the Apprenticeship Employer Onboarding Checklist

1. Sign the Employer Framework Agreement (EFA)

Our Engagement Manager will require the following information to set up the contract: Legal business/company name, Practice name (if different), Is the business Levy or non-Levy funded, is the business a Ltd company (if so, name and email of a company director), or Partnership (if so, legal entity name, partner name and email). We also require the full name of the Practice Manager.

  • The Employer Framework Agreement will be sent to the named entity above via email from DocuSign.
  • Look out for an email from [email protected]. It will say that it is from our Engagement Manager "via Docusign".
  • Follow the steps in the email to provide the digital signature (online).
  • It is important that this is signed by a Company Director (or named Partner if your organisation is a Partnership).
  • For Limited companies, you will need the registered company name, company number and registered address
  • For Partnerships, you will need the legal entity name and business address

2. Complete the Employer Onboarding form

Once the Employer Framework Agreement is complete, we will create an account for you on the DNA Apprenticeship Cloud system, DNA Maytas Hub. This system will send an email to you to complete "Employer Onboarding”. 
  • Practice information (legal entity name, address and contact information)
  • List of contacts (Principal, Practice Manager, Finance contact, Contracts Manager, Apprentice's Mentor, Apprentice's Witness). Full name, GDC numbers, email and telephone will be required.
  • Health & Safety policy (scanned copy / pdf upload required - this must be current and complete)
  • Employer's Liability Insurance documents (scanned copy / pdf upload required - this must be current and complete) 
  • Funding information (whether you are an apprenticeship Levy payer or non levy payer)
  • CQC information (CQC registration number, date of last CQC inspection, details of any risks identified at last inspection)

All information is mandatory. Onboarding cannot be completed until the above information is uploaded and verified in full

3. Setup and Link DfE Employer Service Account

To set up your apprenticeship and access government funding, you will need a Department For Education (DfE) Apprenticeship Employer Service Account on Gov.UK.

If you already have an account:

  1. Visit https://www.gov.uk/sign-in-apprenticeship-service-account 
  2. Press SIGN IN
  3. Link to DNA: Dr Elaine Anne Mustoe UKPRN 10065693 (note: you must tick to grant permissions for us to add apprentice records)

If you do not yet have an account you can provide your PAYE reference number and Employer Accounts Office Reference when you complete the Employer Onboarding form. We can then help to get you started:

4. Grant permisions on DfE Employer Service Account

You must tick to grant permissions for us to add apprentice records.

  • If you did not do this when linking to our account, please sign in to DfE Employer Service Account and grant permissions

For Each Learner

The next stage requires that your apprentice has completed their own Initial Assessment process, AND that the 4 stages of Employer setup (described above) have also been completed.

5. Sign the Training Plan & Apprenticeship Agreement

For the Training Plan & App agreement:
  • We will request an official 'Start Date' for the apprenticeship to begin. This allows us to prepare the Training Plan and Apprenticeship Agreement, which both your trainee and you are required to review and sign (online). Please note: the apprentice must be available for a call with us on the Start Date for the Welcome & Introduction and Induction. We will also set tasks to be completed on the day. This requires the trainee to have part/all of their Off The Job Training (OTJT) time allocated for the week, as active learning must take place and an entry made as evidence.
  • The Training Plan & App agreement will be sent to you from the DNA Maytas Hub. This will detail learner-specific information (their personal information, details of training, start and end dates) as well as obligations from all parties, and pricing details.
  • Three signatures are required: the apprentice and employer must sign. The system will then send the contract to us for the final (provider) signature

6. Pay any required Co-Investment and Top-Up Fees

  • Any Co-Investment and Top-Up Fees will be specified in the Apprenticeship Agreement for each learner
  • A payment link will be provided. You can pay online using credit card, or via BACS transfer.
  • Please note: Payment terms are 30 days from invoice or 48 hours before apprentice Start Date, whichever is the sooner.
  • The system will not enable any learner to start until payment is complete i.e. funds have been received.

7. Approve the Apprentice on DfE Employer Service Account

If your Employer Service Account has been set up correctly, we will be able to add the apprentice to your account.

  • DNA will add the apprentice to your account
  • You will receive a notification email from DfE that the apprentice has been added to your account
  • You must confirm acceptance of the apprentice on your account

8. DfE Apprentice Service Account Completion

The Apprentice will receive a final notification email from DfE asking them to confirm on their own Apprentice Service Account

  • The apprentice must approve the apprenticeship on their DfE Apprentice Service Account

All 8 steps above must be complete BEFORE the Apprentice Start Date. If any component is missing at this point, Start will be delayed.

9. DNA website login/password received (must begin induction on the Apprentice Start Date)

At the induction meeting with our Engagement Manager on the Apprentice Start Date, the apprentice’s login/password will be provided. This concludes the onboarding process and the apprentice is now active.
